Sometimes a visual step-by-step guide is the best way to help. Below is a video explaining how to track online training progress and manage training records using the OWYN Safety Management Platform. You will learn how to navigate the training activity table to view completions, download or print certificates, and export training records to a CSV spreadsheet for bulk reporting.
Let’s look at the Training Activity Table. You can find it by clicking on Training > All Activity.
Here you can view all training activity within your company. You can download or print certificates, edit or remove enrollments, notify trainees, and reset due dates.
How to download or print certificates
If you want to find certificates easily, you can filter by Passed Courses.
Under Actions, you can see the icon to download a certificate.
From here you can click print if you need a hard copy. We also have a quick one-click print icon.
Special note: we don’t have a way to download more than one certificate at a time. However, you can download training records to a spreadsheet if you need many training records at once. Leave the status filter set to Passed Courses, then select Export Results to CSV. You will have a spreadsheet that contains all the information that was in the filtered table.
To email a certificate directly out of the system, you can click the icon with 3 dots like an open triangle.
Enter the email address and select how long you’d like to make the certificate available for the recipient. For example, if you set availability for 1 day, the recipient will have 24 hours to download the certificate. If they try to download after that time, they will get an expiration notice.
Sharing certificates
Scrolling down to the bottom of the training activity page, you can see what certificates have been shared and with whom. You can copy the shared link provided and/or remove permissions as needed.
Quiz results and quick re-enroll
Quiz results are available for some courses. Because this feature was added later, some quiz results might not be available.
For any passed course, we provide a quick re-enroll button.
Set a new due date, confirm, and a new course enrollment email will be sent to your trainee.
Training in Progress
Now let’s take a look at actions you can take on courses that a trainee hasn’t yet completed. Change the filter to Active Enrollments.
To send reminders to trainees that they need to complete a course, you can click the bell icon.
You’ll have the opportunity to send them a custom message.
If a trainee no longer needs to take a course, you can cancel their enrollment by clicking the trash icon. If you need to switch the due date, you can click the pencil icon.
Expired Certificates
OSHA doesn’t mandate a time interval for training on all safety topics. On the topics that do have a required retraining interval, we implemented a way for you to set up automatic re-enrollment before a certificate expires.
Special Note: you may have had employees take training before we put that feature in place. By filtering the table to search for expired certificates, you can find any training records requiring retraining.
You can download and print certificates for your records if needed. Keep in mind that maintaining certificates, even those that have expired, shows a commitment to safety with regular training of employees if OSHA visits your site.
If you have any expired certificates, you can click this icon to re-enroll the user for the training.
Select a new due date and then click automatic re-enrollment to ensure your employee’s training doesn’t lapse in the future. We have the default set to 2 weeks, meaning your employee will be automatically re-enrolled in this training 2 weeks before the certificate expires. You can set this higher or lower as needed. Click Confirm and your employee will receive an invitation to complete the course by the new due date, and they will be set for future re-enrollments without any activity on your part.
